Privacy Policy
Last updated: September 2026
This Privacy Policy explains how Ringstones Machine Tool Services (“we”, “us”, “our”) collects, uses, shares and protects personal data when you visit www.ringstones-mts.co.uk, contact us, or use our machine tool services. It also sets out your rights and how to exercise them.
We are committed to protecting your privacy and handling your data openly. We only ask for the information we genuinely need to answer your enquiry and carry out work for you, and we do not sell your data to anyone.
This policy is provided in line with UK data protection law, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).
1. Who we are
Ringstones Machine Tool Services provides repair, servicing, installation, relocation and breakdown support for CNC and manual machine tools. We are based in New Mills, High Peak, and part of Haregate Holdings Ltd.
For the purposes of data protection law, we are the “data controller” for the personal data described in this policy. That means we decide what data is collected and why.
Our contact details are:
- Post: Ringstones Machine Tool Services, New Mills, High Peak, SK22 4NX
- Email: Info@ringstones-mts.co.uk
- Telephone: 07837 569193
We are not required to appoint a Data Protection Officer. Any question about this policy or your data should be sent to the contact details above.
2. What this policy covers
This policy covers personal data we handle through this website, through enquiries made by phone or email, and in the course of providing our services to you or the business you work for. It does not cover other websites we link to — see section 13.
3. The personal data we collect
We collect only what we need. Depending on how you interact with us, this may include:
Information you give us
- Contact details — your name, email address and telephone number, submitted through our contact form or given to us by phone or email.
- Enquiry details — the service you select and anything you tell us in your message, such as the machine you need help with, its condition, its location, and your timescales.
- Business details — your company name, site address and job role, where you give them to us so we can quote and attend site.
- Service and job records — details of work carried out, machines attended, parts supplied, site visit notes and related correspondence.
- Billing details — purchase order references, invoicing contacts and payment records where we do work for you.
Information we collect automatically
- Technical and usage data — if you consent to analytics cookies, we collect information such as the pages you view, how long you spend on them, the approximate region you are in, the type of device and browser you use, and the site or search that referred you.
- Consent record — your cookie choice is stored in your browser so the banner does not reappear on every page. This is stored on your device and is not sent to us.
We do not collect special category data (such as health, ethnicity or political opinions) and we ask that you do not send us any. We do not carry out automated decision-making or profiling that produces legal or similarly significant effects.
4. How we collect your data
We collect personal data when you:
- complete the enquiry form on our contact page;
- call or email us, or reply to correspondence from us;
- engage us to carry out work, or ask us for a quotation;
- connect with us through our LinkedIn or Google Business profiles; or
- browse the site with analytics cookies accepted.
5. Why we use your data, and our lawful bases
Data protection law requires us to have a valid “lawful basis” for each use of your personal data. The table below explains what we do and why.
- To respond to your enquiry and provide a quotation. Lawful basis: legitimate interests — it is in our mutual interest that we can reply to people who contact us; or steps prior to entering a contract where you are asking us to quote.
- To carry out work and manage our contract with you. Lawful basis: performance of a contract, or legitimate interests where our contract is with the business you work for rather than with you personally.
- To keep records of work carried out, including service history and site notes. Lawful basis: legitimate interests — maintaining accurate records so we can support machines properly over time and deal with any warranty or safety question.
- To invoice and take payment, and to keep accounting records. Lawful basis: performance of a contract and legal obligation.
- To understand how our website is used and improve it. Lawful basis: consent, given through our cookie banner. You can withdraw this at any time.
- To keep our site and business secure, and to prevent fraud or misuse. Lawful basis: legitimate interests.
- To comply with law, and to establish, exercise or defend legal claims. Lawful basis: legal obligation and legitimate interests.
Where we rely on legitimate interests, we have considered whether our interest is overridden by your rights and freedoms, and concluded it is not. You have the right to object — see section 11.
6. Cookies and analytics
We use a small number of cookies and similar technologies. Analytics cookies are only set if you accept them through our banner, and you can change your mind at any time. Full details of what we use, why, and how to control it are in our Cookie Policy.
7. Who we share your data with
We do not sell, rent or trade your personal data. We share it only where necessary, with:
- Formspree — the service that delivers our website enquiry form to our inbox. Your form submission passes through their systems in order to reach us.
- Google Analytics — our analytics provider, but only where you have accepted analytics cookies.
- Our email, hosting and IT providers — who store and transmit our correspondence and host this website.
- Suppliers and subcontractors — where a job requires a specialist part or an additional engineer, and only the details needed to complete the work.
- Our accountants, insurers and professional advisers — where reasonably required.
- Haregate Holdings Ltd — our parent company, for internal administration.
- Law enforcement, regulators or courts — where we are legally required to disclose information.
Where a third party processes data on our behalf, we require them to act only on our instructions and to keep it secure and confidential.
8. International transfers
Some of the providers described above are based outside the United Kingdom, or store data outside it. Where personal data is transferred overseas, we take steps to ensure it is protected to a standard equivalent to that required by UK law — for example by relying on UK adequacy regulations, or on the International Data Transfer Agreement or Addendum approved by the UK government. You can ask us for more detail using the contact details in section 15.
9. How long we keep your data
We keep personal data only as long as we need it for the purposes set out above:
- Enquiries that do not lead to work — normally up to 24 months from your last contact with us, so we can pick up the thread if you come back to us.
- Customer and job records — for the duration of our relationship and normally 6 years afterwards, reflecting the limitation period for contract claims.
- Accounting and tax records — at least 6 years, as required by HMRC.
- Analytics data — retained by Google in line with the retention period set on our account, and reported to us only in aggregate.
- Your cookie choice — stored on your device until you clear it.
When data is no longer needed, we delete it or anonymise it securely.
10. How we protect your data
We use appropriate technical and organisational measures to keep personal data secure. This site is served over an encrypted HTTPS connection with strict transport security, and we apply a content security policy and related protections. Access to correspondence and job records is limited to those who need it. No transmission over the internet can be guaranteed completely secure, but we take our obligations seriously and will notify you and the regulator where we are legally required to do so following a breach.
11. Your rights
Under UK data protection law you have the following rights, free of charge, in most circumstances:
- Access — to be told whether we hold personal data about you and to receive a copy of it.
- Rectification — to have inaccurate or incomplete data corrected.
- Erasure — to have your data deleted, where there is no continuing reason for us to hold it.
- Restriction — to ask us to limit how we use your data while a concern is resolved.
- Portability — to receive certain data in a structured, machine-readable format, or have it transferred to another controller.
- Objection — to object to processing based on legitimate interests, and to object at any time to direct marketing.
- Withdraw consent — where we rely on consent, such as analytics cookies, you may withdraw it at any time without affecting processing already carried out.
To exercise any of these rights, contact us using the details in section 15. We will respond within one month. We may need to confirm your identity first. There is no fee unless a request is manifestly unfounded or excessive.
12. Marketing
We do not run marketing mailing lists and we do not send bulk marketing email. If we contact you, it will normally be about an enquiry you made or work we are carrying out. If we ever do send you service updates you may opt out at any time by replying to the message or contacting us directly.
13. Other websites
Our site links to other websites, including our LinkedIn and Google Business profiles and our parent company. We are not responsible for the content or privacy practices of those sites. Their own privacy policies apply once you leave ours, and we encourage you to read them.
14. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in what we do or in the law. When we make material changes we will update the “Last updated” date at the top of this page. Please revisit this page periodically.
15. Contact us and how to complain
If you have a question about this policy, or want to exercise any of your rights, contact us on 07837 569193, by email at Info@ringstones-mts.co.uk, or by post to New Mills, High Peak, SK22 4NX.
We would always prefer to resolve a concern with you directly. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or on 0303 123 1113.
